Optima Diagnostics ("we", "our", "us") is a medical diagnostic centre based at Opp. Ghungoor Police Outpost, S.M.C Road, Ghungoor, Silchar, Cachar, Assam - 788014, India. This Privacy Policy applies to information you share with us, or that we collect about you, in connection with the website at optimadiagnostics.in and any in-person or remote diagnostic service we provide.

2. Information we collect

We collect only the information that is necessary to deliver safe, accurate and personalised diagnostic services. This may include:

• Identity & contact information: name, age, sex, address, mobile number, email and a valid government-issued photo identification.
• Clinical information: the prescription you bring, your symptoms, relevant medical history, the tests requested, the samples or images we acquire, and the reports we issue.
• Insurance / corporate information: insurance card details, TPA reference numbers, employer name, where applicable.
• Payment information: we do not store your full card or UPI credentials. Payments are processed by trusted payment gateways which retain transaction references.
• Website & device information: IP address, browser type, pages viewed, time spent and similar analytics data collected through cookies and standard server logs.

3. How we use your information

We use the information we collect strictly for the following purposes:

• To register your visit, schedule appointments and process samples or scans.
• To prepare and deliver accurate, doctor-verified reports to you (and, with consent, to your treating physician).
• To notify you about preparation instructions, slot confirmations, payment receipts and report availability.
• To comply with legal, regulatory and statutory requirements - including PC-PNDT Form F documentation for obstetric ultrasound, AERB record-keeping for X-ray installations, and tax-related reporting.
• To support quality improvement, internal audits and external quality assurance benchmarking.
• To respond to your questions, complaints or feedback.
• To send you, only with your consent, occasional information about new services, health-camp announcements and educational content.

4. Sharing of information

We do not sell your personal or health information to anyone. We may share information only in the following limited circumstances:

• With your treating physician: on your authorisation, we may dispatch reports directly to your doctor's email or WhatsApp.
• With reference laboratories: certain specialised tests may be sent to partner reference laboratories. We share only the minimum information required to perform and report the test.
• With insurance companies / TPAs: if you are availing cashless or reimbursement facilities, we share documentation as required for processing your claim.
• With regulators: when required by law - including under PC-PNDT, the Atomic Energy Act and rules, public health surveillance regulations, or by a court of competent jurisdiction.
• With service providers: we use trusted vendors for cloud hosting, payment processing, courier and SMS/WhatsApp delivery; they handle data only on our behalf and are bound by confidentiality.

5. Data security

We take reasonable physical, technical and administrative steps to protect your information. Reports are stored on secured systems with role-based access. Printed records are kept in restricted-access areas. Our staff are trained on confidentiality and are bound by formal agreements. Any suspected breach is investigated, escalated and disclosed to you and to authorities as required by law.

6. Retention of records

Diagnostic records are retained for the period required under applicable Indian law and clinical standards - this is generally a minimum of three years for routine pathology and longer for specific categories such as obstetric ultrasound (PC-PNDT Form F is retained as required under the Act). After the retention period, records are securely destroyed.

8. Your rights

Subject to applicable law and regulatory record-keeping requirements, you have the right to:

9. Children's privacy

We do not knowingly collect personal information from children below 18 years of age except in the context of providing diagnostic services to a paediatric patient on the basis of a guardian's consent and a valid medical prescription.
